Executive Operations Assistant

 

JOB SUMMARY


The Executive Operations Assistant provides administrative and project support to the Vice President as well as other leaders. The Executive Operations Assistant is a key contributor and active participant in the facilitation of the business programs and functions as well as providing confidential administrative support.

 

PRIMARY JOB RESPONSIBILITIES
 

  • Coordinate internal communications for the business. This could include creating and partnering with marketing internal communication to disseminate relevant information and announcements as well as creating presentations.
  • Produce reports and presentations and provide documents, information, data analysis and tracking as needed and
  • Order and maintain department office supplies, coordinating shipments, submission of purchase orders, invoice processing, and general facilities
  • Edit and proofread documents ensuring 100% accuracy in work product
  • Develop, organize, lead and execute ad hoc initiatives
  • Assist in the production of Board of Directors and metric reports
  • Track expenses and prepare expense reports
  • Track management PTO and approve timesheets where appropriate
  • Assist in the maintenance and updating of budget work
  • Coordinate weekly meetings, including preparing agendas and minutes
  • Assist in the maintenance of leadership calendars and ensure deadlines are met by tracking various work initiatives
  • Perform delegated management functions on behalf of the Vice President. Review and distribute incoming correspondence
  • Arrange travel requirements
  • Coordinate with Human Resources on organizational initiatives within the team, including, but not limited to organized events, strategic programs, and appreciation activities
  • Other duties as needed 
 

JOB QUALIFICATIONS


Required:
  • Bachelors Degree Required
  • 2 years in an administrative function role
  • 3 year experience in program development and management
  • Ability to work effectively in a high volume, fast-paced
  • Ability to set priorities, multitask and remain calm and focused
  • Strong ability in MS Office (Word, Excel, PowerPoint, Outlook, Visio)
  • Outstanding communication and interpersonal skills
  • Ability to handle data and information with confidentiality
  • Strong organizational and time management skills
     


PHYSICAL DEMANDS

 
  • Ability to sit at a computer terminal for extended periods of time
